Description of School

Escuela Popular provides educational services to over 600 students in three age-appropriate programs in two facilities. Our student population is predominately Latino. Most of our students are first generation immigrants who come from Spanish-speaking households. The Elementary School implements the Two-Way Dual Language Immersion program with Spanish being the target language. The elementary program currently serves students in grades K-7. Each year a new grade level is added. The Under 19 High School Program serves students age 14-19, while the Over 19 High School Program serves adult students in the morning and evening programs. The Over 19 High School Program provides childcare services for its students.

Responsibilities
Responsibilities include, but are not limited do:

Human Resources

  • Payroll
  • Benefits Administration
  • Processing of new employees
  • Processing of employee terminations
  • Maintaining personnel files
  • Coordinating staff trainings, in-services
  • Performing employment verifications

Operations

  • Collecting and maintaining emergency contact information for all high school staff and submitting to High School Office Manager/Assistant to High School Principal
  • Coordinating and following-up on school’s risk assessment
  • Annually coordinating CPR training for staff
  • Point of contact for school’s insurance carrier regarding staff and student injuries

AP/AR

  • Makes bank deposits
  • Prepares checks for Executive Director’s or Deputy Director’s signature, collects receipts
  • Receives school credit card bill, collects receipts from high school staff, and submits to the school’s back-office services provider
  • Collects high school staff reimbursement forms, calculates reimbursements, submits to school’s back-office service provider, and distributes reimbursement checks to high school staff
  • Performs all purchasing for the high school (i.e. office supplies, janitorial supplies)
  • Work with back office providers regarding coding and budget

Data

  • Collaborates with EP staff to ensure the integrity and accuracy of the school’s data

Deputy Director Support

  • Composes routine and non-routine correspondence independently and as directed by the Deputy Director
  • Develops effective communication between and among the Deputy Director and staff

Miscellaneous

  • Maintains strict confidentiality regarding school matters
  • In collaboration with Deputy Director, monitors school’s compliance with applicable laws and regulations
  • Attends all in-services

Qualifications

  • Bachelor’s degree at a minimum
  • 2-3 years prior relevant experience
  • Ability to interact with external suppliers such as 403(b) providers
  • Previous payroll experience preferred
  • Previous experience with budget coding preferred
  • Familiarity with relevant laws and regulations (e.g., FMLA, Workers’ Compensation, etc.)
  • Strong customer service ethic
  • Excellent organization skills and attention to detail
  • Strong written and interpersonal communication skills
  • Strong problem solving and critical thinking skills
  • Ability to work effectively in a fast-paced, deadline-driven environment, and to juggle several projects at once with a spirit of flexibility and positive outlook
  • Ability to take initiative
  • High level of integrity and professionalism
  • Proficiency in Microsoft Office programs including Word, MS Outlook, PowerPoint, and Excel
  • Familiarity with charter schools, education, or nonprofit work is preferred
  • Personable and able to relate well with diverse populations and age groups
  • Willingness to work evenings and weekends, as directed by the Deputy Director
  • Bilingual (Spanish/English) required
